What is a Bulletin?

Bulletins is a very useful feature within Ctrl Hub, and is a great way for organisations to send out questionnaires, announcements or notifications to specific groups of users to complete with requested answers or responses.

The Bulletins tab can be found in the left-hand menu, as highlighted below.

*Note* Only users with specific permissions can view Bulletins, if you believe your access level is incorrect, please speak to somebody from your organisation.

How it Works

When you finalise a bulletin, the system will automatically create a form in Ctrl Hub that contains the questions you set when you created the bulletin. This form won’t appear in the Forms list.

The audience that you defined will be sent an email notifying them that there is a bulletin to complete, and includes a link to any attachments, as well as a link to the bulletin form.

The audience is also notified through their system alerts in Ctrl Hub. Any outstanding bulletins appear in the “Bulletins Pending” widget in their dashboard, which also contains links to the relevant attachment(s) and form.

When the bulletin form is submitted and passed (meet the pass mark - see “Creating a Bulletin”), the user has completed the bulletin, and this will remove the outstanding bulletin from their dashboard.

The email that the audience would receive will be sent from no-reply@ctrl-hub.com and will look like this:

*Note* The best way to open links into Ctrl Hub is by copying the link and pasting it into a window that you have already logged into.

Via the Dashboard:

The bulletins will also appear in the Operative & Operative Form dashboard in the “Bulletins Pending” widget. This would appear like this:

Pre-Use Bulletins Set Up

Before you can create a Bulletin, you will need to carry out certain steps to set up the system around the bulletins.

You will have to create the Bulletins Form Workflow. This workflow is then assigned to any forms created as users respond to bulletins they are sent. This is a simple workflow, but it must match the specific options to apply to the bulletins system.

Workflow Name: Bulletins
Workflow Steps: 1. Start (name: start), 2. Submit (name: submitted)
Workflow Transitions: Start > Submit, Label “Submit”

As well as this, underneath Bulletins, you will see “Bulletin Types” and “Bulletin Audiences”. You must have at least one “Type” and “Audience” before you can create a Bulletin. You can find out more about bulletin types & audiences in the relevant articles.
